Customer Upload Guide: Review Statements and Categorize Transactions to Produce Reports

A guide to verifying extracted bank statement data, categorizing transactions, and preparing P&L or Balance Sheet reports.

Before You Start

Create or open the customer record you want to work on. We support PDF, CSV, XLSX, OFX and QFX formats.

A. Statement file row
Open the file to review extracted details and transactions against the original statement.
B. Next: Categorize
This button appears once you upload at least one file. It takes you directly to categorization.

Step 1: Verify Extracted Statement Data

Comparing the extracted data with the original file.

A. Statement info
Account number, statement dates, balances and currency.
B. Balance check
Shows whether the starting balance plus extracted transactions matches the ending balance.
C. Transactions
Extracted transaction rows, including dates, descriptions, amounts and balances.
D. Document viewer
View the original statement.
E. File navigation
Navigate between the customer's files when multiple files are uploaded.
F. Save
Save your modifications. Changes will be lost if you do not save before leaving.
G. Verify action

Contextual action button.

  1. Saves modifications, marks the file as Verified and moves to the next unverified file.
  2. When there are no more unverified files, it brings you to categorization.
H. Header actions
Categorize this file opens the categorization page filtered to this statement. Export allows you to download the data in the format you need.

Use this page to make sure everything was extracted correctly. You can edit statement info and add, remove or edit transaction rows before marking the file verified. When you're done, save your changes and you're ready to export the extracted data in the format you need.

You can skip the following sections if all you need is the extracted statement data and you do not need bookkeeping, a P&L, or a Balance Sheet.

Step 2: Categorize Transactions

Preparing the data for a report.

A. Page actions
Manage categories for this customer's template, bank accounts and opening balances, export customer transactions or open more actions.
B. Tabs
Switch between the transactions pane and journal entries. Journal entries are optional and are used for manual adjustments outside the bank feed.
C. Search and filters
Search or filter the transaction list.
D. Bulk edit controls
Apply category, merchant or tax changes to transactions matching the current search and filters.
E. Transaction table
Categorize transactions, confirm tax settings, view source files and use row actions.
F. Generate reports
Generate the P&L or Balance Sheet after categorization is complete.

Assign categories to the transactions, verify that merchant names are accurate and mark them as taxable as needed for your bookkeeping.

Once your work is done, generate the report you need using the Generate P&L or Generate Balance Sheet buttons.
